Real Estate Transaction Closing Coordinator

VineBrook Homes is an internally managed Midwest-based real estate investment company, focused on acquiring, renovating, leasing and operating single-family homes as rental properties.  An early investor and developer of the Single-Family Rental Home (SFRH) asset class, we commenced operations in late 2007.  Our proven, yield-focused investment strategy targets a unique opportunity building a portfolio of "Optimal House" assets in key Midwest markets.  We own or manage over 4,000+ SFRH assets in 6 states and 7 major Midwestern cities.  Additionally, VineBrook Homes is currently undergoing the next major expansion of its strategy, expecting to drive toward 10,000+ units.

Position Overview

The Transaction Closing Coordinator coordinates the entire closing process from home escrow to home closing within the time frames established by VineBrook Homes, LLC.  This position oversees all aspects of the transaction from executed purchase agreement to closing. Coordinates inspections, assists in negotiations and assists executives and acquisitions team with administrative tasks. Supports team in any way they can and will gain tremendous exposure to many aspects of the real estate business.


  1. Initiate closing order with title companies
  2. Manage all contingency deadlines in contracts
  3. Maintain closing activity reports and projections
  4. Coordinate document flow between internal agents, external agents, sellers and title company
  5. Schedules closings with title companies
  6. Coordinate pre-closing inspections with internal inspectors
  7. Coordinate utility related transfers
  8. Review closing packages including settlement statements, title reports and policies and deeds 
  9. Review closing files for compliance, overall accuracy and completion including flood certification, contract documentation, tenant files and leases
  10. Process state specific closing activities
  11. Initiate funding requests
  12. Act as a general and overflow support for acquisition and executive team
  13. Assist with administrative tasks and provide administrative support
  14. Print, bind and prepare proposals and memoranda as required
  15. Track market activity and Sales data in target markets


  1. Strong attention to detail and ability to follow process
  2. Exceptional organizational skills and adherence to deadlines
  3. Excellent communication skills, able to develop strong relationships with internal and external constituents
  4. Strong technology skills and ability to learn new software (prior experience in Salesforce, Yardi, MLS, Docusign, Tableau preferred)
  5. Transaction coordination background experience in real estate, title, mortgage or paralegal fields
  6. Knowledgeable in real estate transactional procedures and real estate contracts and forms
  7. Flexible with willingness to take on new responsibilities

Additional Requirements

  • Pass a Motor Vehicle, Drug Screen, Credit, and Criminal Background Check
  • Bachelor's degree preferred
  • Minimum 2 years of work experience
