Real Estate Transaction Closing and Compliance Coordinator

VineBrook Homes is an internally managed Midwest/Heartland-based real estate investment company, focused on acquiring, renovating, leasing and operating single-family homes as rental properties.  An early investor and developer of the Single-Family Rental home (SFR) asset class, we commenced operations in late 2007.  Our proven, yield-focused investment strategy targets a unique opportunity building a portfolio of "Optimal House" assets in key Midwest markets.  We own or manage over 6,000 SFR assets in 12 states and 18 major Midwest/Heartland markets.  Additionally, VineBrook Homes is currently undergoing the next major expansion of its strategy, expecting to drive toward 10,000-15,000+ Homes.

Position Overview

The Transaction Closing and Compliance Coordinator coordinates the entire closing process from home escrow to home closing within the time frames established by VineBrook Homes, LLC.  This position oversees all aspects of the transaction from executed purchase agreement to closing. Coordinates inspections, communicates with title companies and real estate agents and assists executives and acquisitions team with administrative tasks. Supports team in any way they can and will gain tremendous exposure to many aspects of the real estate business.

Responsibilities

  • Initiate closing orders with title companies and see deals through to closing
  • Manage all contingency deadlines in contracts (inspection, finance, disclosures etc)
  • Maintain closing activity reports and projections
  • Act as a liaison and coordinate document flow between internal agents, external agents, accountants, appraisers, sellers and title company
  • Schedules closings with title companies
  • Coordinate pre-closing inspections with internal inspectors
  • Review closing packages including settlement statements, title reports, commitments and policies and deeds 
  • Review closing profiles and files for corporate and jurisdictional compliance, overall accuracy and completion including  executed contract documentation, disclosures, flood certification, tenant files and leases
  • Process state specific closing activities
  • Initiate funding requests
  • Act as a general administrative overflow support for acquisition and executive team
  • Assist with administrative tasks and provide administrative support
  • Print, bind and prepare proposals and memoranda as required
  • Ship closing packages via overnight when required
  • Track market activity and Sales data in target markets

Qualifications

  • Strong attention to detail and ability to follow process
  • Exceptional organizational skills, attention to detail and adherence to deadlines
  • Excellent communication skills, able to develop strong relationships with internal and external constituents
  • Strong technology skills and ability to learn new software (prior experience in Salesforce, Yardi, MLS, Docusign, Tableau preferred)
  • Transaction coordination background experience in real estate, title, mortgage or paralegal fields
  • Knowledgeable in real estate transactional procedures and real estate contracts and forms
  • Have an active Notary License or be willing/able to become a Notary
  • Energetic, Adaptable, Flexible with willingness to take on new responsibilities
  • Exercise discretion regarding matters of importance
  • Comfortable in open office/collaborative environment

Additional Requirements

  • Pass a Motor Vehicle, Drug Screen, Credit, and Criminal Background Check
  • Bachelor's degree preferred
  • Minimum 2 years of work experience
