Maintenance Service Supervisor – Property Management

VineBrook Homes is an internally managed Midwest-based real estate investment company, focused on acquiring, renovating, leasing and operating single-family homes as rental properties.  An early investor and developer of the Single-Family Rental Home (SFRH) asset class, we commenced operations in late 2007.  Our proven, yield-focused investment strategy, targets a unique opportunity building a portfolio of "Optimal House" assets in key Midwest markets.  We own or manage over 4000 SFRH assets in 3 states and 4 major Midwestern cities.  VineBrook Homes is currently undergoing the next major expansion of its strategy.

Service Supervisors are responsible for the daily management and orchestration of the repairs and maintenance team, responding to and addressing inbound work orders from multi-site rental properties.  Supervisors must be able to pull key reports and prioritize work orders and tasks for the service team by coordinating assignments and schedules daily to meet goals regarding productivity, open work order count, and days to complete, all within budget.  Service Supervisors will play a critical role in determining the proper solution and corresponding cost to address an issue, including the use of 3rd party vendors.  As such, Service Supervisors must be skilled in plumbing, electrical, and carpentry with an emphasis on Certified HVAC repairs and service.  They must be able to diagnose and troubleshoot problems to assist the Service Technicians and approve contractor bids as needed.  The Service Supervisor must be familiar with applicable building codes, ordinances and State and local regulations and have knowledge in the proper methods of storing equipment, materials and supplies.   Service Supervisors must possess strong leadership, communication, organization and customer service skills. 

Essential Functions

  1. Organize inbound volume of work order requests to properly categorize, prioritize, mitigate and delegate R&M work to technicians, guiding on optimal, cost-effective solution.
  2. Develop a roster of vendors for overflow and specialty work.
  3. Assign and communicate necessary work to 3rd party vendors, ensuring clarity of scope and cost expectations with focus on accountability and prompt completion.
  4. Monitor key operational and productivity metrics to ensure staff and vendors are completing target work volume on time and on budget. Responsible for R&M budget performance.
  5. Supervise/participate in after-hours on -call response program.
  6. Supervise/participate in completion of daily work orders and reporting as necessary.
  7. Assist with troubleshooting and repair for HVAC, plumbing, electrical and carpentry, roofing, siding, masonry.
  8. Document and report any potential safety hazards.

Competencies

  1. Work is performed while standing, sitting and/or walking
  2. Requires the ability to communicate effectively using speech, vision and hearing.
  3. Requires the ability to lift carry, push, pull medium weights up to 75 pounds
  4. Requires activity involving being exposed to moving machinery, exposure to marked changes in temperature and humidity, and exposure to dust, fumes and gases.
  5. Transport a variety of tools, equipment and supplies for the purpose of ensuring the availability of materials required at the service site.
  6. Effective communication skills in interacting with residents, vendors and management is a must.
  7. Exemplary Customer Service skills
  8. Time Management skills 

Travel

 Travel is primarily local during the business day. After hour calls are on rotation.

 Required Education and Experience

  1. High school diploma or equivalent
  2. Two to five years' previous experience in a maintenance role
  3. Universal EPA Refrigeration Certificate
  4. At least two years of Carpentry, Plumbing, and Electrical experience.
  5. Must have own tools, we will provide larger equipment.
  6. Experience using a property management software system.
  7. Valid Ohio driver's license.
  8. Pass a Motor Vehicle, Drug Screen, Credit, and Criminal Background Check

 Preferred Education and Experience

  1. Completion of Tech/ Vocational School
  2. EPA Certification
  3. Freon Handling Certificate
  4. Electrical Certification
  5. Knowledge of Yardi property management software
